System integration

Connecting your business systems through APIs

Network of connected systems linking a shopping cart and WhatsApp

An order comes in from the online store. An employee copies it into the sales system, issues an invoice in the accounting software, and then sends the customer a WhatsApp message with the order number. That's four manual steps for every order, and each one is a chance to get a name or an amount wrong. Connecting your systems through APIs makes these steps happen on their own and leaves the employee to deal with the exceptions.

What is API integration, in plain terms?

An API is an interface one program offers to another so it can read data or send commands without a person in between. When two programs support it, they can exchange orders, invoices and customer data automatically.

A close relative is the webhook. With a webhook, the store sends your system a notification the moment a new order arrives, so your system doesn't have to keep asking every minute. Most modern store platforms and payment gateways support both methods.

Which integrations do businesses need most?

IntegrationWhat moves automatically
Store and inventoryAn order reduces the quantity, and a stock adjustment shows up in the store.
Store or internal system and accountingThe invoice and the payment are recorded without a second entry.
System and WhatsAppOrder confirmation, appointment reminders and shipping notices.
Payment gateway and systemPayment status updates as soon as the transaction succeeds.
Shipping company and systemThe tracking number and delivery status.
Fingerprint device and payrollAttendance records feed into the month's payroll.

Every business has its own most important link. A service company with recurring contracts cares most about tying the contract to the invoice and the receipt, as in organizing contract renewals. A store cares most about linking orders to inventory and shipping, which we covered in launching an online store.

How does WhatsApp connect to an internal system?

Through Meta's official WhatsApp Business Platform, either directly or through an approved provider. The WhatsApp app on a phone, whether the regular one or WhatsApp Business, offers no official programmatic integration.

Messages your system starts, such as an order confirmation or a reminder, are sent using templates Meta approves in advance, and they are billed according to the pricing policy in force at the time. Replying to a customer who messaged you first is more flexible within a set time window. If you want a smart assistant to answer the repetitive questions, that is the subject of automated replies on WhatsApp.

Can accounting software connect to your store or internal system?

It depends on the software. Many cloud accounting products offer a documented API, while some programs installed on a computer inside the company only allow importing from files.

Before you decide, ask your accounting software vendor whether there is an API, what it lets you create (only invoices, or journal entries and receipts too), and whether it costs extra. In countries with government e-invoicing, such as the Fatoora platform in Saudi Arabia, make sure the official invoice is issued from the system approved for that purpose and that the integration goes through it.

What risks should you check before integrating systems?

  • Duplicate data: an order is sent twice because of a dropped connection, and two invoices go out. A good integration recognizes the duplicate order and ignores it.
  • Silent failure: the integration breaks and nobody notices for days. Ask for an alert on failure and a log of every transaction.
  • Interface changes: the vendor updates its API and the old integration stops working. Budget for yearly maintenance.
  • Permissions: the integration key should have the lowest level of access it needs to do its job.

Pick one source for each type of data. For example, prices are edited only in the internal system and flow from there to the store. Editing in both places creates conflicts that never end.

How much does system integration cost, and how long does it take?

That depends on how well the APIs are documented and how many cases the integration has to handle. A simple link between a store and a system with well-documented APIs can take days. One that handles returns, partial payments and multiple currencies takes longer.

There are ongoing costs to account for too: some vendors charge a subscription for API access, WhatsApp messages cost money if you use them, and someone has to follow up when one side updates its interface. Ask for every integration to be documented, describing what it moves, when, and what happens when it fails, so any technical team can take it over later.

Should you connect your programs or replace them with one system?

If your current programs do their jobs well and your team is used to them, connecting them is usually cheaper and faster. If you're linking five programs to make a single process work, and every link needs maintenance, one system may be simpler in the long run.

  1. Map the journeyWhere an order starts and where it ends
  2. Find double entryEvery point where something is copied by hand
  3. Check the interfacesWhether each program offers an API or webhook
  4. Start with one linkThe one that happens most often in a day
  5. Monitor and logAn alert on failure and a weekly report
Steps for planning system integration

We build these integrations as part of our custom software and systems service, between your current programs or with a system we build for you. Send us the names of the programs you use and where your team copies data by hand, and we'll tell you what can be connected.

Questions our partners ask

What's the difference between an API and a webhook?

An API lets your system request data or send commands whenever it wants. A webhook has the other system send a notification the moment something happens, such as a new order or a successful payment.

Can the regular WhatsApp app be connected to our system?

The WhatsApp app on a phone has no official programmatic integration. Integration goes through Meta's WhatsApp Business Platform, either directly or through an approved provider.

What if my software doesn't support an API?

Sometimes you can run regular imports and exports of files in a fixed format. If the software doesn't allow that either, that may be reason enough to replace it.
