Whether you run a clinic, a shop or a service company, the questions on WhatsApp look alike. How much is it? Is there an opening on Thursday? Where are you located? Has my order arrived? Your employee answers the same question dozens of times a day, messages that come in after hours wait until morning, and by then some of those customers have booked with someone else.
An AI assistant on WhatsApp solves much of this if it is built with clear limits. Built without limits, it annoys your customers more than it helps them.
What questions can a WhatsApp AI assistant answer?
It answers the questions you already have written answers for: published prices, available appointments, address and working hours, order status if it is connected to your system, and policies such as returns and cancellations. We build it on the company's documents and data and block it from answering from general knowledge, so it does not invent a price or a promise.
When should the bot hand the chat over to a person?
This is what separates a good experience from an annoying one. The assistant hands over the conversation when the customer explicitly asks, when the question falls outside the documents, when the message carries a complaint or anger, or when the request is a financial decision such as a refund. The employee receives a summary of the conversation so the customer does not have to tell the story again from the start.

Is the WhatsApp Business app enough, or do you need the Platform?
The free WhatsApp Business app is enough for a small shop where one or two people reply. It has a greeting message, an away message, saved quick replies and a product catalog. It does not support an AI assistant that understands the question and answers from your data, and it does not connect to your systems. When message volume grows, when you want several employees replying from the same number in an organized way, or when you want chats linked to bookings and orders, you need the WhatsApp Business Platform, either directly through Meta or through an approved provider. Keep in mind that switching takes preparation: a Meta business account, a number dedicated to the Platform, and message templates approved before you use them.
What WhatsApp rules do you need to know?
An AI assistant needs the WhatsApp Business Platform, which is the official API, and the regular app will not do. WhatsApp also has clear rules. A message the business starts, such as an appointment reminder or an offer, needs a template WhatsApp has approved in advance. Free-form replies are allowed within the customer service window that opens when the customer messages you. Fees vary by message type and country, so check them while planning.
Respect customer consent. Do not add numbers you collected elsewhere to your messaging lists, because blocks and reports hurt your number's rating.
What language and dialect should the assistant use?
Use your customers' language. An assistant that replies in very formal Modern Standard Arabic to a question asked in dialect sounds robotic even when the answer is right. We work with the company to choose a tone close to how its staff talk, and test it on real past conversations before launch. If a customer writes in English, the assistant replies in English.
How do you launch a WhatsApp bot without risk?
Launch in stages. Start with an internal trial where employees message the assistant with real customer questions and correct its answers and documents. Then release it to a portion of customers, or only outside working hours, when the alternative to an automated reply is waiting until morning. Watch the conversations daily in the first week. Once the numbers hold steady, gradually extend its hours and topics. Begin with questions whose answers are fixed, such as address, hours and published prices, before questions that need a connection to your system, such as order status or available appointments. The second kind is more useful to the customer, and it needs longer testing because a mistake there means a promise you cannot keep.
Tell the customer from the first message that they are talking to an automated assistant, and how to ask for a person. Customers who know this accept the assistant's limits far more readily than customers who find out on their own.
How do you protect customer data on WhatsApp?
Conversations contain names, numbers and sometimes sensitive data. Decide what gets sent to the AI model, choose a provider and settings where data is not used for training when that option exists, and store the chat history in your own system with clear permissions. In healthcare and finance, review the regulatory requirements before you start.
How do you measure the impact of a WhatsApp assistant?
Three numbers are enough in the first month: the share of conversations the assistant closed without handing over, the average time to first reply, and the share of conversations it handed over that then needed a correction to an answer it gave. That last number tells you where to improve the documents it relies on.
What does the assistant need after launch?
It needs regular follow-up, because your business changes. Prices change, offers end, and new questions appear every season. Assign someone to review the conversations that were handed to staff each week and update the documents the assistant relies on. If you also want an assistant on your website that works from the same documents, it runs on the same engine, as we explain in a website AI assistant that answers from your company documents.
We build these assistants and connect them to company systems as part of our AI and automation solutions service. For a general starting point, read AI for your business: where to start, or send us the ten questions you get most.
Questions our partners ask
What is the difference between the WhatsApp Business app and the WhatsApp Business Platform?
The WhatsApp Business app is free and suits small shops with simple saved replies. The Platform (API) connects to your systems and allows an AI assistant and several employees on the same number, with fees charged by message type.
Can I message customers whenever I want?
No. Messages the business starts need templates that WhatsApp approves, and free-form replies are allowed within the customer service window that opens when the customer messages you. Design the assistant within these rules.
Does the assistant understand Arabic dialects?
Current models understand Jordanian and Gulf dialects well. We test this on real conversations from your company before launch and tune the answers to a dialect close to your customers'.
